Description

We are seeking a highly capable and dedicated Projects Coordinator to join our team. In this role, you will be responsible for managing various programs and providing essential support to ensure the smooth operation of all assigned projects or programmes. Your primary focus will be on coordinating and overseeing activities related to Host Site vetting, Learnerships, the YES Program, work experience, intern management, training arrangements, host site visits, query resolution, onboarding, performance appraisals, finger printing, and assessments.

Responsibilities

  • Conduct site vetting and submit reports to Head Office using the online platform, including taking necessary photographs. Travel to various sites, including the Midlands region, is required.
  • Source and recruit candidates for learnerships, manage the process of Odyssey assessments, collect fingerprints, and gather and capture candidate information on the Placement Partner system or ensure quality assurance if the candidate has completed the process independently.
  • Collect weekly attendance registers from host sites for Youth Uploader and Tracker purposes.
  • Fully manage the YES Program, including recruitment, work readiness training, assessments, document collection, and capturing data on Placement Partner and SAYouth Mobi. Update attendance registers and maintain the Youth Uploader and Tracker.
  • Provide support and coordination for work experience programs similar to the YES Program.
  • Supervise the work of interns, including administrative tasks such as data capturing and work readiness recruitment, as well as handling submissions to the Finance department for travel stipends.
  • Arrange training facilities as required for ATS clients and internal purposes.
  • Conduct host site visits for the school’s program in collaboration with the team to ensure effective program implementation.
  • Resolve queries and address issues related to the programs promptly and effectively.
  • Assist with onboarding processes as directed by the Regional Lead.
  • Conduct performance appraisals for interns, as required, with guidance provided during meetings.
  • Perform finger printing tasks and submit them to the designated individual for results across all programs.
  • Manage candidates coming to the office for assessments.

Requirements

  • Previous experience working with systems and processes related to program coordination.
  • Possession of a valid driver's license and a car, as travel to the Midlands region is required. (compulsory)
  • Exceptional organizational skills and the ability to handle multiple responsibilities and tasks simultaneously.
  • Excellent communication and interpersonal skills to effectively interact with internal and external stakeholders.
  • Strong problem-solving abilities and the capacity to manage challenging situations.
  • Detail-oriented mindset with a focus on accuracy and data integrity.
  • Proficiency in using relevant software and platforms for data capturing, record keeping, and reporting.
  • Ability to work effectively both independently and as part of a team.
  • Flexible and adaptable nature to accommodate changing priorities and requirements.
